Executive Assistant and Board Relations

As Executive Assistant and Board Relations you will support Goodwill's mission by providing support services to the President and CEO, Board of Directors, and the executive office.  In this position you will perform a range of complex, non-routine, and often confidential executive secretarial/administrative support and project management.



  • Provides expert preparation and organization of all correspondence, corporate activities, creation of executive reports, and corporate records.
  • Compose and compile letters, memos, and other correspondence requiring independent judgment in handling format, procedure, and context. Reviews incoming correspondence, preparing effective responses on matters for which authority has been delegated.
  • Maintain filing system for administrative and corporate records, and ensure accurate inventory of office supplies for the corporate office.
  • Monitor and control all telephone functions and electronic communications, to include management of the executive calendars, making travel arrangements; greeting visitors; screening, responding to, and/or routing incoming mail.
  • Attend to general inquiries from members of the public and refer to appropriate Goodwill officers, where necessary.
  • Organize receptions, ceremonies and functions hosted by the President/CEO.
  • Co-ordinate senior management team meetings including agendas, minutes and action lists. Coordinate agenda items and distribute with associated documents. Attend meetings, take and distribute minutes, and track deliverables and report back to executive leadership.
  • Monitor schedules of executive leadership, ensuring up to date changes are incorporated and communicated to effected parties.Responsible for confirming and following up regarding timelines and attendance/participation.
  • Conducts background research and collects information related to visiting officials and guests of the executive leadership, in preparation of Goodwill meetings and other corporate functions.
  • Perform special projects as assigned, to include those involving: data collection, research and collation of statistical analyses.
  • Liaise with local corporate executives, state and federal government officials, and other high ranking personnel, on behalf of the President/CEO.
  • Facilitates high quality communications, event planning, and project management related to the board.
  • Administer and organize all aspects relating to Board and Committee Meetings, including preparation of agendas, logistical coordination, recording of minutes and distribution of documentation.
  • Undertake other duties and functions consistent with the area of work and responsibility as directed by the President/CEO.

  • The ability to gain cooperation and assistance from internal employees and external parties to ensure achievement of tasks.

  • Good knowledge of the fundamentals and protocols of organizing ceremonies, functions and receptions.
  • Ability to work flexible working hours including evening meetings, after-hours functions and corporate events.
  • Ability to type a minimum of 50 words per minute (wpm).
  • Ability to work well with others under stressful conditions.

Education and/or Experience:

Any combination of training, education, and experience equivalent to graduation from high school or GED.  Associate or Bachelor’s Degree is highly desirable.  5+ years’ experience working in a high level secretarial/administrative support capacity with similar responsibility including:  office management experience, proficiency with Microsoft Office programs, and experience and/or training in additional computer software applications (example:  database management, spreadsheet, desktop publishing, among other related programs).   Experience in board-relations and event management is also highly desirable.

Physical and Environmental Requirements:

  • Regularly lift and /or move up to 10 pounds and occasionally lift and/or move up to 40 pounds.
  • Vision abilities required by this job include: close, distance, color, peripheral vision, depth perception, and the ability to adjust focus.
  • Sitting and standing for long periods of time.
  • The noise level in the work environment is usually moderate (examples: business office with computers and printers, light traffic).

License and Certifications: Valid Florida Driver’s License with an insurable driving record and current private auto insurance policy.
